Types of Events

BBQ is BBQ, right? Not if you’re from Carolina, or Memphis, or Texas, or Kansas City, or 50 other locations in the United States. Each region has their unique take not only on the sauce but also on the meat and preparation. The same could be said for exhibit marketing at different types of events like trade shows, conventions, conferences, or private events. No two audiences are the same, and how marketers interact with potential clients has a distinct rhythm and process. 

Mastering Marketing for Different Types of Events

At some point, you’ve heard the following terms, often used interchangeably:  

  • Trade Shows
  • Conventions
  • Exhibitions
  • Expos
  • Symposiums
  • Events
  • Webinars

Each represents a gathering of individuals or groups with a shared interest or professional connection. But there are subtle differences. For example, trade shows (also called trade fairs) frequently are large multi-company events where exhibitors compete to attract attendees on a floor packed with hundreds of other exhibitors. Conversely, conventions tend to be more education and meeting-focused with a smaller trade show component.

If you’re a marketing professional, you already know how to identify your objectives, your audience, the medium (event, expo, etc.), and your intended outcome.  The hardest part, especially if you’re new to face-to-face marketing, is understanding how to deliver your message efficiently and effectively at these types of events. 

Start by contacting the show organizer or association. Ask for guidance. They are motivated to help you for 3 reasons:  

  1. They want their event to be successful

Don’t be shy about tapping into their expertise. They know their customers and have years of experience. All too often, marketers will assume a successful promotion at one event will translate into an equally successful promotion at another event. Or a sponsorship will carry the same prestige and access to potential clients at all types of events. 

For example, at a symposium, a breakfast sponsorship may be a HUGE opportunity since it attracts the largest crowd and often features a keynote speaker. A convention, however, may have a strong education focus with classes, training, and certification seminars. Teaching classes brings credibility to your company, along with one-to-one interaction with potential clients. 

Finally, don’t be afraid to ask colleagues who have attended the event before for their advice. Nothing beats the advice from someone who has experienced the event in person.

Six Exhibit Design Trends

When it comes to trade show booth design, six trends have dominated for inlines and islands over the past five years. 

  1. Large Tension Fabric Graphics

With the exception of basic portable displays, modern trade show exhibits are bigger, brighter, and curvier than ever. Even traditional square and rectangle booths have gotten more upscale as customization has gotten easier and more affordable. Rentals included. Gone are those basic and battered booths so common from show organizers and general service contractors (GSC). Now, it’s nearly impossible to tell a purchased booth from a rented one from most exhibit houses. In other words, trade show booth design, construction, and ownership are more flexible and beautiful than ever before.

Getting Started with Trade Show Booth Design

Every perfect trade show booth design starts with identifying your audience, marketing goals, and trade show budget. Exhibit designers use this information as the first step, then they’ll ask additional questions to fine-tune the booth to your specific requirements. For example – they’ll identify whether you need storage, meeting areas, overhead signage, and accessories like monitors, literature trays, charging stands, etc. They’ll even determine if you’ll need rental furniture like office chairs, sofas, and end tables and suggest styles to match your graphic design.

6 Trade Show Booth Ideas & Examples (Islands)

1. GK-5153: Island Exhibit

A well-designed trade show island exhibit should be attractive, inviting, informative, and practical. The GK-5153 does all that… and more.  It combines a casual meeting space with functional counters for product samples. The design includes a reception counter, also with locking storage. Throughout the island, there are large graphic opportunities at multiple angles to attract attendees from every aisle, including a 16 ft. tower.

Many of the flat panels are from the patented Gravitee System, which connects without tools or loose parts, making assembly much easier than traditional panels.  The Large Aero Overhead Hanging Sign pulls it all together with internal and external graphics.  

2. GK-5147: Island Exhibit

It’s the complete package. The GK-5147 island maximizes the available space with double-sided curved panels. The design includes iPad workstations, monitor mounts, and a presentation area. There’s an attractive custom reception counter with a backlit graphic and LED accent lights. In addition, the islands have multiple seating areas all with USB charging ports so your clients can charge their phones and tablets. All the curved panels are from the patented Gravitee System, so individual panels connect without tools and there are no loose parts or pieces.

3. RE-9091: Island Exhibit

An island exhibit doesn’t have to stand tall or be overly complicated. It simply has to fit your tradeshow marketing needs… and get noticed. The RE-9091 rental island has two eye-catching double-sided SuperNova lightboxes. These lightboxes assemble quickly and are always the star attraction in any booth space. The RE-9091 has a large full-size closet along with storage in each reception counter.

In addition, the closets do double duty, serving as lightboxes on the two longer sides and supporting a monitor in the lounge. High above, there’s an Aero Triangle Hanging Sign so you’re sure to attract attention from across the show hall.

4. RE-9139: Rental Island

The RE-9139 Rental Island goes way beyond a pretty picture. We’ve incorporated key features such as large graphics, private and semi-private conference rooms, towers with locking storage access, and workstations and reception counters with secure storage. Not enough? Then add product shelves, large and small monitors for presentations, a variety of light fixtures, and hanging signs for high visibility from anywhere on the show floor. 

5. ECO-4094: Sustainable Island

Looking for a big bang on a modest budget? Plus a sustainable design? The ECO-4094 doesn’t disappoint with (3) double-sided backlit towers, fabric graphics, ample meeting space, and an amazing reception counter with locking storage. The open format allows for multiple entries into the booth, which can often be a challenge for an island exhibit. The 12 ft. tower can support a large monitor and there is enough space for presentations. All that and built with eco-friendly materials. 

6. ECO-4100: Sustainable Exhibit

The ECO-4100 Sustainable Exhibit takes a traditional square design and transforms it into a more inviting space with curves. There are two demo stations facing the aisles, a backlit counter with storage, and a cozy lounge in the middle. The large overhead attached sign ensures you’ll be seen from any angle on the show floor. You go to trade shows to be seen… so be seen with the ECO-4100 20 x 20 island booth.

1. Travel Portland Custom Booth

Custom Trade Show Booth Ideas

A city known for its vibrant culture, arts, food, bicycling, festivals, and nightlife, Travel Portland wanted to present a multi-sensory experience of the city.​ This island exhibit needed to flex for use at three shows per year in a 20×20 or 20×30 configuration. One requires an informational experience, one focuses on setting meetings with destination planners, and one is focused solely on the attendee’s sensory experience. ​The ability to change out graphics easily for each show was paramount. Travel Portland requested lightweight components to reduce shipping costs and a modular structure that was easy to assemble and easy to reconfigure between 20×20 and 20×30. ​

2. Google’s Custom Booth

Google wanted a fun, creative, almost childlike atmosphere in their island exhibit, similar to the vibe in Google offices around the world. ​Google had a long wish list of functional requirements: multiple seating areas, interactive spaces including a selfie wall, storage for swag, a tall visible structure, a distinctive hanging sign, a prominent reception counter, and strong digital moments.  All of which had to fit in a 20×20 space without feeling cramped.​ Finally, the 20×20 had to be easily reconfigurable into larger booth sizes at future shows.​

3. Custom Booth for Slate

Slate wanted a welcoming, attention-grabbing, and professional atmosphere that incorporated a Seattle theme where the event was held. They needed multiple meeting spaces, product demo workstations, and large-scale eye-catching graphics. They reserved a unique 20×60 space that spanned the windowed atrium between the two show halls. 4. Home To Go Custom Exhibit

As a first-time exhibitor in the US market, Home To Go wanted an impressive presence at their industry’s largest event. Throughout the year, they exhibit in 10×30, 10×20, and 10×10 shows, requiring their exhibit structure to be flexible yet visually consistent.​ Home To Go’s strategy for increasing visibility was to “glow.” They chose an expansive 30 ft. back wall lightbox with a surrounding wood frame. The outside of the frame is covered in a dark woodgrain laminate, and the inside is laminated with Home To Go’s signature purple, which further reflects the light from the backlit graphic.​

5. Custom Booth for Odyssey Foods

Odyssey Foods wanted attendees to sample their unique products in an intimate yet approachable experience that mimics an authentic Seattle bistro. An effective chef demo was critical, including seating for buyer conversations and a large menu board to showcase recipes being prepared. This demo area needed easy access to a private prep and storage area. Additionally, the client required real and engaging display areas to showcase the array of Odyssey products. The ongoing menu and product updates required multiple large areas for signage that could be easily changed.​

The trade show exhibit industry loves the word “modular.” And specifically, the phrase “modular trade show booth (or exhibit).” It’s a flexible term (pun intended), which can describe a $3000 portable inline display or a $300,000 custom island exhibit. Both are technically modular since they can be built using modular components or designed to reconfigure to another size or shape. 

In other words, modular, as a feature and/or a benefit, depends on the context. Understanding the context is important when shopping for an exhibit and knowing what questions to ask the display provider – whether you’re shopping on a display website or meeting face-to-face with a local exhibit house. 

Modular Trade Show Booth Options: An Overview

While modular exhibit designs have always been popular, more exhibitors are requesting modularity as one of their purchase requirements because of tight marketing budgets and rising trade show costs. They need solutions that offer more “bang for the buck.” This typically comes down to two things:  1. The ability to expand or contract a display depending on the show and 2. The ability to pack and assemble a display quickly and efficiently using a catalog of interchangeable and replaceable components.   

Ask yourself, how much modularity do you really want? If all you really want is a 20 ft. inline display that configures down to a 10 ft. display . . . that’s easy. There are lots of choices from basic to boffo. However, if your goal is to transform a 20 x 30 island into a  20 x 20 island, a 10 x 20 inline, a 10 x 10 inline, and a tabletop display, then it gets considerably more complicated.

There are multiple ways to achieve that goal. The end result, however, may resemble a hippo-elephant-donkey-cat. And, if you’ve ever spent any time breaking down an exhibit at the end of a show, you know that the best-laid plans of organizing all those parts and pieces for the next “smaller” show is often sacrificed to make your 7:15 p.m. flight.

Understanding the Modular Definition in the Context of Trade Shows

Let’s consider modular from a different perspective — portable modular vs custom modular. In case you didn’t know, a portable trade show display can ship via UPS or FedEx. A portable modular display typically has more features than just a portable exhibit, such as modular counters, monitors, shelves, workstations, backlighting, etc. In other words, it’s more than just one big graphic.

A custom modular gets a little trickier depending if the emphasis is on “custom” or “modular.” Modular exhibit builders are often taking modular components and putting them on steroids. The parts may be bigger, fancier, and generally packed in small wood crates or roto-molded tubs. Each component tends to be lightweight to save on shipping but there may be lots of components. If you’ve participated in a trade show recently, you’re very familiar with fabric graphics like silicone edge fabric graphics (SEG). However, not long ago, most trade show graphics were printed on a plastic, vinyl, or corrugated paper substrate. These had to ship flat in a box or rolled in a tube to protect them… and damage was common, even with careful packaging and installation. 

Today, fabric graphics dominate as the primary graphic medium for trade shows. Largely for three reasons:  (1) They’re lightweight, (2) Relatively indestructible, and (3) Are available in large formats up to 10 to 16 ft. wide. In this article, let’s explore how and why Silicone edge graphics dominate trade shows and events.

Understanding Silicone Edge Graphics: An Overview

Let’s start with the basics. SEG is a high-resolution dye-sublimated fabric graphic finished with a thin silicone strip (or welt/gasket). The silicone strip is sewn directly to the edge of the graphic, and the strip is then inserted into a frame with a recessed groove. 

The size of the graphic must be precise so the fabric is taut when installed in the frame. The result is a large format graphic that mimics the old-fashioned hard panel graphics commonly found on custom displays and interior spaces.

Dye sublimation is a versatile process for printing vibrant, long-lasting designs on fabrics, especially synthetic ones like polyester.

1. Design and Printing: It starts with a design, like a photo, pattern, or text, which is digitally printed onto special transfer paper using sublimation inks. These inks are unique because they can transition directly from a solid to a gas state, skipping the liquid phase.

2. Heat and Pressure: The printed transfer paper is placed on top of the fabric (usually polyester or a poly blend) and then fed into a heat press or calender. This applies intense heat and pressure, around 200°C (400°F) for 30-60 seconds.

3. Gaseous Transformation: Under this heat and pressure, the sublimation ink on the transfer paper transforms into a gas. This gas permeates the fabric’s fibers, creating a permanent bond. The ink dyes the fabric from within, rather than just sitting on top of it.

4. Cooling and Setting: As the heat press cools, the fabric’s fibers contract, trapping the gaseous ink permanently within. This results in a vibrant, high-resolution print that’s resistant to fading, cracking, and peeling.

Overall, dye sublimation is a powerful and versatile technique for adding vibrant, permanent designs to fabrics. Its combination of high quality, durability, and softness makes custom silicone edge graphics a popular choice for inline and island trade show exhibits and retail graphics.

Choosing the Right SEG Fabric for Your Display

Like any fabric, there are materials meant for specific applications, like indoor or outdoor usage, qualities like durability, vibrancy, and lightweight properties, and, of course, overall quality. In some ways, SEG fabric is like clothing. There are fabrics meant to last for years and other fabrics meant to be tossed after a season. 

When reviewing your options, take the time to ask your vendor to explain which fabric they’re using and the benefits, features, and warranty of that choice(s). There are two main types of SEG fabrics: knitted polyester and backlit polyester. Backlit polyester tends to be more expensive, durable, and wrinkle-resistant.

  1. Backlit vs. Non-Backlit Fabric 
  2. Stretch vs. Non-Stretch Fabric
  3. Size. The typical maximum size of an SEG graphic (without a seam) is 118 inches wide. However, there are a few dye-sublimation printers that can print up to 188 inches. 
  4. Build-in Blocker vs. Separate Blocker
  5. Folded vs. Rolled 

Silicone Edge Graphics Frame: The Foundation of SEG

Silicone Edge Graphics require a frame with a channel to hold the sewn silicone welting that surrounds the fabric. Although the channel can be cut into wood or molded into plastic, the most common SEG frames are aluminum. Aluminum extrusions offer the benefits of light weight, durability, structure, and versatility. Depending on the vendor, there are SEG aluminum frames as wide as 8 inches and as narrow as ½ inch.  

Engineered SEG aluminum can be cut, bent, and constructed into squares, rectangles, and even curves. The extrusion can also be powder-coated or anodized in hundreds of colors to match the most demanding design requirements. 

Finally, aluminum frames have the extra benefit of endless recyclability. Aluminum frames recycled one week may be melted, formed into billets, and extruded into new extrusions a week later.  

Maintenance and Care of SEG Displays

Most SEG fabric graphics should be folded and stored in a plastic bag. You may spot clean by wiping with a damp cloth. If it is necessary to wash the graphic and it is small enough, use a commercial-size front-loading washing machine. Wash on the gentle cycle, with cool water. Dry cleaning is NOT recommended. 

To limit getting the graphic dirty during installation, keep the set-up area clean by using a drop cloth and wash your hands prior to set-up. You may want to consider purchasing inexpensive white cotton gloves. Wearing gloves while handling the graphic will minimize the transfer of dirt and oils to your graphic
